How to add Annoteer to a Teams meeting, common questions, and where to reach us.
Add Annoteer to a meeting in under a minute
- Open Microsoft Teams (Desktop or Web) and start or join a meeting in your tenant.

In the meeting toolbar, click the
+button (or the Apps icon) at the top of the meeting window. - Search for Annoteer and click Add. The Annoteer side panel opens immediately for everyone in the meeting.
- Click Choose File and upload a PDF, slide deck, Word document, spreadsheet, or image. The first participant to upload sets the document for the meeting.
- Start annotating. Pick a tool from the toolbar — pen, highlight, rectangle, sticky note, arrow, text — and draw on the document. Every participant sees every mark instantly.
Need to keep the markup after the meeting?
Annotations persist with the document. Reopen Annoteer in any follow-up meeting and the document loads with all marks intact.
On supported formats (PDF, DOCX, XLSX) you can also export the marked-up file via the export button in the side panel toolbar.
Supported clients
Annoteer requires the full Microsoft Teams client. Here's what works where:
- Supported Teams Desktop (Windows, macOS) — full features.
- Supported Teams Web (signed in at teams.microsoft.com) — full features.
- Limited Teams Mobile (iOS, Android) — you can view documents and other participants' annotations, but the screen is too narrow for productive annotation. Full mobile support is on our roadmap.
- Not supported Anonymous "light meetings" guests — Microsoft's anonymous meeting launcher strips meeting extensions, so Annoteer cannot load. Sign in to Teams to use Annoteer.
Frequently asked questions
What does Annoteer cost?
Every organisation starts with a 14-day free trial — no credit card required. The trial includes everything, with AI extraction capped at 10 documents for the whole trial.
After that there is one plan: €9 per user per month, excluding VAT. It covers everything Annoteer does — all five document formats, unlimited meetings and participants, real-time collaboration, native Office editing, export, and unlimited AI extraction. There are no feature tiers.
VAT is added at checkout according to your location. EU business customers who supply a valid VAT number are reverse-charged at 0%.
When a trial or subscription ends, existing documents and annotations stay viewable — only new uploads and AI extraction stop, so a meeting in progress is never interrupted.
What document formats does Annoteer support?
- PDF — full annotation overlay with page-by-page navigation and text selection.
- PowerPoint (.pptx) — server-side conversion to a high-fidelity preview, then annotation overlay.
- Word (.docx) — native rich-text editing in the browser, with import and export.
- Excel (.xlsx) — live spreadsheet editor with formula support, cell-level real-time sync.
- Images (PNG, JPG, SVG, WebP, GIF) — annotate any image as a single-page document.
Where are my documents stored? Who can see them?
Documents are stored in Microsoft Azure (West Europe region), inside our managed storage account. Access is gated by Microsoft Entra ID authentication — only participants of the Teams meeting where you uploaded the document can access it. We do not share documents with third parties.

How does AI extraction work?
On Business and Enterprise plans, the Annoteer side panel has an Extract button. Click it, choose your output format (Markdown, JSON, CSV, or plain text), and Annoteer streams structured data extracted from the document by Anthropic's Claude AI.
Common uses: pulling tables out of slide decks, summarising long PDFs into bullets, converting screenshots of forms into spreadsheet rows, or any ad-hoc structured-data extraction your team currently does by hand.
The document content is sent to Anthropic only when you explicitly click Extract. Anthropic does not train models on data submitted through their API.
Why don't I see Annoteer in the Apps list outside a meeting?
Annoteer is a meeting-only app — it only appears when you're inside an active Teams meeting. To use it, join or start a meeting first, then add Annoteer from the meeting's + / Apps button.
I'm on Teams Mobile and the document looks tiny / annotations don't work well.
That's expected for v1. The Teams Mobile side panel is too narrow for productive document annotation — the document area is roughly thumbnail-sized after the chrome takes its share. Mobile users can view documents and see annotations made by desktop participants, but active annotation on mobile is not currently supported.
We're working on proper mobile support for a future release. For now, use Teams Desktop or Teams Web for the best experience.
Can I export the marked-up document?
Yes, on paid plans:
- PDF — export the PDF with annotations baked in as a new PDF.
- Word (.docx) — export the edited document preserving tables, images, headings, and alignment.
- Excel (.xlsx) — export the spreadsheet preserving cell formatting (bold, colors, alignment).
Look for the Export button in the side panel toolbar.
Who keeps the annotations after the meeting ends?
Annotations persist with the document. Anyone who can reopen the same Annoteer session in a follow-up meeting will see the existing marks. The meeting organizer or the user who uploaded the document can delete the document (and its annotations) at any time. See our Privacy Policy for full data retention details.
How do I cancel my subscription?
Billing is handled by Stripe, not by Microsoft — so your subscription is not in the Microsoft 365 Admin Center. Email support@annoteer.app from the address that received the receipt and we will send you a secure Stripe billing portal link, where you can cancel, change the number of seats, update your card, and download invoices.
Cancellation takes effect at the end of the current billing period; you keep full access until then. Afterwards, documents and annotations already in your meetings stay viewable — only new uploads and AI extraction stop.
If you cannot reach the portal, email support@annoteer.app and we will cancel it for you.
Is Annoteer GDPR-compliant? Where does the data sit?
Yes. Document and annotation data is stored in Microsoft Azure data centers in the West Europe region. Annoteer is operated by N.T.I MEASURE, established in France — subject to EU/UK GDPR. See our Privacy Policy for full data handling details, including your rights to access, correct, export, or delete your data.
